W[a]T Footprint scenario's

The Working[Apart]Together Footprint is based on three scenarios. With these three scenarios, it is always possible to upscale and downscale, depending on the situation. A lot is still uncertain, and therefore flexibility within a Corona-proof working environment is very important.

The exact determination of the percentage of employees in the office often depends on the organization itself. The maximum number of employees can, amongst other things, be regulated with a headcount. A Working[Apart]Together Footprint is, therefore, tailor-made to fit the organization, the type of work, and the current office layout.

General principles for both the short and long term:

  1. Good health is the foundation.
    Anyone who shows the slightest symptoms of a cold or fever stays at home.
  2. Instruction & information.
    The influence of behaviour is of great importance to be able to successfully implement the new measures and the corresponding ground rules. Therefore, communicating the ground rules both digitally, through the intranet and physically and explain to employees why certain things have (temporarily) changed.
  3. Hygiëne.
    Ensure maximum hygiene in all areas and pay extra attention to frequently contacted areas. Ensure that strategic areas are provided with sufficient hygiene materials, such as disinfectant wipes and hand soaps. Washing hands with disinfecting soap are preferable to the use of disinfecting hand gels.
    Don’t forget the workplace either: preferably the employee has his or her workplace (for a day) and has his or her laptop, keyboard, and mouse that are not used by anyone else.
  4. Distance.
    You want to keep a safe distance from each other everywhere. That is why you should implement walkways throughout the building, taking into account a safe distance between them while passing by. Think about every sub-area, such as the lift, the toilet, and the workplaces.

Scenario 1: “the one-and-a-half-meter office’

In the initial scenario, working from home is the starting point, so you can keep the pressure on the office and the employees as low as possible, and little or no adjustments are required. With this scenario, you can get used to the new policies and ground rules, without having to take much consideration of other colleagues. This scenario focuses on the short-term.

Three examples of specific focal points of scenario 1:

Offices.
Signage at workplaces that are not available.
Increase the degree of fresh air in the room.

Meeting rooms.
Closed.
Use of videoconferencing.

Pantry & restaurant.
The restaurant remains closed.
One or two pantries open for coffee and washing hands.
Rinse cups immediately after use and put them in the dishwasher.

Scenario 2: “the intelligent office’

The second scenario will allow employees to come to the office more often, also to be able to receive visitors again. The office can again be used to meet and work together. Instructions, routing, and signing are essential to ensure the safety and health of all attendees. Also, this scenario can be implemented in the short term, as no drastic adjustments are needed.

Three examples of specific focal points scenario 2:

Offices.
Signage at unavailable workplaces
If necessary, organize A/B teams.
Move desks apart and/or place screens
Increase the degree of fresh air in the room.

Meeting rooms.
Hybrid conferencing: Use video calls as much as possible.
Reduce occupancy by at least half and signage for available seats.
Increase fresh air supply in the room.

Pantry & restaurant.
All pantries open for coffee and washing hands.
Rinse cups immediately after use and put them in the dishwasher.
The restaurant opens with limited seating.
Encourage outdoor lunch in the open air.
Adapt opening hours and different types of catering.

Scenario 3: “the new normal’

Scenario 3 focuses on the long-term, the ‘new normal’. Many measures taken in the first two scenarios will continue to stay with us for a longer period. Because signage is primarily efficient in the short-term, scenario 3 will require much more attention to the layout of the office. This allows you to make permanent changes that contribute to the health and safety of employees and visitors, which you know have worked.

Offices.
Adapt the layout of the office so that A/B teams are no longer needed.
Adapt execution and/or type of offices.
Increase the degree of fresh air in the room.

Meeting rooms.
Continue to stimulate video calls.
Adapt the meeting room layout to increase occupancy.
Increase the fresh air supply rate in the room.

Pantry & restaurant.
Adjust the layout of the restaurant and pantries.
Pantries open for coffee and washing hands.
Rinse cups immediately after use and put them in the dishwasher.
Encouraging outdoor lunch.
Adjusting opening hours and types of catering.
